PRIVACY & COOKIE POLICY of the EAST DORSET ANTIQUARIAN SOCIETY

East Dorset Antiquarian Society (“EDAS” hereafter) will obtain personal information from membership application forms consisting of names, contact details (address, email address and telephone number) and provision or otherwise of a Gift Aid Declaration. This data will be used only to fulfil obligations relating to membership of EDAS, particularly provision of information to members, arrangements for events organised by EDAS and records of membership subscription or other payments.

EDAS’s Secretary is responsible for ensuring that your personal information is only used in accordance with relevant legislation. Other users are primarily the EDAS Treasurer and EDAS Membership Secretary, though they may also include any of the EDAS Committee and those organising or providing events or services for EDAS members.

EDAS’s membership data will be held securely on computers or in printed form. It will never be sold nor passed to any third party. Any request for personal information will be passed to the member concerned, as set out in the EDAS Constitution section 8(4).

It is assumed that members will notify the Membership Secretary, or other Committee members, of any changes to their personal information. Unless errors are found by those using the information, the data provided will, therefore, be assumed to be accurate and up to date.

Members may opt out of receiving general information and/or monthly Newsletters from EDAS by contacting the person issuing the communication or the Data Protection Officer. Any opt out will not apply to communications relating to constitutional or legal requirements, such as notices of General Meetings.

Contact details will be deleted from EDAS’s records not more than 2 years after a member leaves EDAS unless earlier deletion is requested. Records relating to payments, including subscription fees, may be held for up to 6 financial years after a member leaves.

Members may request details of the data held about them at any time from the Secretary, to whom any queries should also be addressed. We aim for a response within 7 days.

COOKIES AND WEBSITE USERS

EDAS uses only essential (or ‘strictly necessary’) cookies, small text files placed on your device to ensure the website operates as it should. We do not use them to track personal information.

Personal information provided through the website in connection with membership of EDAS is dealt with as above. Any other personal information provided through the website, using the contact form, will be held and used only to deal with that contact.
